Plumbers and HVAC shops: who answers the phone when you're on a job?
Owner Workflows sells a related service, for a fee: an inbox that catches missed calls and inquiries. If you already run Jobber, Housecall Pro or ServiceTitan, check their add-on first; I show how below.
There are two different problems: daytime calls you miss while you’re under a sink, which are mostly bookings and quotes, and after-hours calls, some of which are emergencies worth a dispatch fee. If you run Jobber, its Receptionist add-on costs $29 a month and already answers, texts back and flags urgent keywords; Housecall Pro and ServiceTitan sell their own. Count both kinds of call before you pay for anything, including an answering service.
Daytime: when you’re on a job
When you’re on a job, most missed callers want a booking or a quote, and most of them can wait an hour if they know you’ll call back. The options, cheapest first:
- A greeting with a callback time. Script 1 on the voicemail greeting page is written for this.
- Text-back. One text to the caller who hung up, inviting a reply; the missed-call text page has the messages and the carrier fees.
- Forwarding to the office or a part-time helper. Free in most phone systems, if someone is there to pick up.
- A live answering service or an AI receptionist. Both cost money every month; the general comparison prices every option side by side.
After hours: emergencies and the on-call phone
After hours the question is who decides what counts as an emergency, and how the tech finds out.
| Option | Who decides what’s an emergency | How the tech is told | Does the caller hear the fee? | Price (source, read Oct 2026) | Limits |
|---|---|---|---|---|---|
| Better after-hours greeting + next-morning callback | The caller, from your greeting’s list | Not told until morning | Yes, if the greeting says it (greeting script 3) | $0 | Emergencies wait unless the greeting gives a number |
| Greeting with “press 1” to the on-call phone | The caller | The call rings through | Yes, if the greeting says it | Your on-call pay (no source found for typical on-call pay) | A “groggy or rushed answer” can lose a caller, per a Plumber magazine column by an AI-voice founder (Plumber, 9 Sep 2026) |
| On-call rotation answering every call | The tech | Directly | The tech says it | On-call pay | Techs woken for estimate requests; owners in Jobber thread 14372 route only emergencies to the on-call person |
| Live answering service that pages the tech | The service, from your script | Page or call | If your script includes it | PATLive $189–$349 a month for 100–200 min (PATLive); MAP $179/125 min (MAP); Ruby $395–$720 for 100–200 min (Ruby) | Often can’t answer questions about service area or surcharges (same Plumber column); may turn away work you do (PlumbingZone) |
| Platform AI add-on (Jobber Receptionist) | Your list of urgent keywords: “Choose the keywords that mean urgent for your business” (Jobber) | Transfer or text alert | If you set the greeting to say it | $29 a month with 30 conversations, $0.79 after; included on Plus | Jobber users only; languages not stated on its page |
| Off-the-shelf AI receptionist | Its keyword or intent rules | Varies by product | If configured | $25–$150 a month for small plans (the general comparison) | Escalation must be set up; California’s all-party consent rule (§632) is why many tools announce recording at the greeting; see the general comparison. Not advice |
| My inquiry inbox (what I sell; not available yet) | You, from the transcript and an urgent alert | Text or email alert | Yes | Planned: $149 a month plus usage at cost (the inbox) | Nobody answers live, so an emergency still needs your on-call route |
What your job software already sells
If you run your jobs in one of these platforms, look at its own call answering before anything else. Prices read October 2026.
| Platform | What it sells | Emergencies / after hours | Handoff to a person | Price (read Oct 2026) | What its page doesn’t say |
|---|---|---|---|---|---|
| Jobber | Receptionist: answers calls and texts 24/7, books through online-booking settings or creates requests, texts back callers who hang up (at most one a day per number), separate business-hours and after-hours greetings; needs a Jobber number (forward your existing one) | Owner-chosen urgent keywords trigger a transfer or text alert | Transfer to owner; owner can take over texts | $29 a month add-on with 30 conversations, $0.79 each after; included on Plus ($499 a month without commitment or $399 a month billed annually, for 5 users; extra users $29 a month each) (help, pricing, re-checked 12 Oct 2026) | Languages |
| Housecall Pro | CSR AI, a “24/7 Customer Service Rep” that answers and books; chat included on all plans; call answering a paid add-on (Housecall Pro) | Not described | Hands off to a human | Not published; sales quote | Emergency handling; price |
| ServiceTitan | AI Virtual Agent / Voice Agent: books against technician capacity, confirms and reschedules, “custom dispatch fee messaging”; works with Contact Center Pro “or any phone system” (ServiceTitan) | Not described on the page | “Live Escalation” transfer | Not published | After-hours and emergency handling; price |
| Workiz | Genius Answering; built-in phone system on all plans, “Genius Phone sold separately” (Workiz) | Not checked | Not checked | “Request pricing” | Most details |
What an after-hours call is worth
These are what customers are quoted for an emergency plumber, from consumer cost guides and one vendor. They show the size of the fee an after-hours call can carry; your own ticket is the number that counts.
| Figure | Source |
|---|---|
| Emergency plumbers charge 1.5 to 3 times the normal rate; evenings $60–$300/h, weekends $80–$400/h, holidays $120–$600/h; flat emergency or trip fee $150–$300 common | Angi, updated 10 Sep 2026; method described only generally; lead-generation site |
| After-hours weekday $120–$300/h, weekend $150–$350/h, holiday $200–$450+/h; most add a $150–$250 service-call fee outside business hours | HomeGuide, 30 Dec 2025, based on contractor estimates |
| Nights, weekends and holidays “often 1.5–3x” the standard hourly rate; emergency dispatch fee “$150–$350+ before repairs” | Housecall Pro, updated 16 Sep 2026, vendor |
I found no source for HVAC after-hours fee norms or for typical on-call pay.
Count before you buy
Use the counting method on the missed-call numbers page, split two ways. Daytime: the calls you missed during your posted hours, and how many of those wanted new work. After hours: every call outside your posted hours, then the ones nobody answered, then how many of those were real emergencies. Whether you need anyone answering at night at all is its own question, covered on the after-hours page. Count the last 4 weeks, or tally one week, and type the counts below.
What callers say about answering services and AI
Owners describe both sides. In a PlumbingZone thread on answering services, some report callers hanging up on a service; in a Jobber community thread, owners route only emergencies to the on-call person. For what surveys say about callers and automated answers, sponsor by sponsor, see the caller-acceptance table.
Questions owners ask
How much does an answering service for plumbers cost?
List prices read in October 2026 run from $179 a month for 125 minutes (MAP) and $189 for 100 minutes (PATLive) to $720 for 200 minutes (Ruby), plus per-minute charges above the allowance. Cover for after hours only uses fewer minutes; the calculator prices it at your own after-hours volume.
Does Jobber have an answering service?
Yes. Jobber’s Receptionist add-on answers calls and texts, texts back callers who hang up and flags the urgent keywords you choose; it costs $29 a month with 30 conversations and $0.79 each after, and is included on the Plus plan (read 12 Oct 2026). It needs a Jobber phone number, which your existing number can forward to.
Should my on-call tech answer the phone?
If emergencies pay a dispatch fee, someone has to be reachable for them. Owners in one Jobber community thread route only emergencies to the on-call person and leave estimate requests for the office the next workday, and a greeting with an emergency option can do that filtering.
Can an AI tell a real emergency from a routine call?
Only by the rules you give it. Jobber’s Receptionist flags calls by keywords you choose, and other tools use their own keyword or intent rules, so test one with your own customers’ emergency wording before relying on it, and keep a route to a person.
